For companies on Google Workspace, the first enforcement tool for an AI policy is already in the Admin console. Google publishes its data terms for Gemini in one privacy hub1.

Best for: Google Workspace companies that want Gemini switched on with clear data terms, audit logs and existing DLP rules applied to its output.

Not the right fit for: Companies that use AI tools outside Google Workspace, or that need to govern AI agents working in other systems.

What Workspace controls do for an AI policy

Google states that customer content is not used to train models outside the customer's domain without permission, and that chats and uploaded files in the Gemini app are not reviewed by human reviewers. Admins can disable the Gemini app and switch Gemini Notebook on for the whole organisation or for an organisational unit or group. In supported editions, existing data loss prevention rules apply to Gemini output inserted into Workspace services, audit logs track activity with Gemini, and retention is managed in Vault1.

The gaps are specific. Gemini Notebook is not integrated with Workspace DLP, and the organisation's data region settings do not apply to data in it1. The controls cover Google's own AI; a staff member using another AI site is outside them.

Gemini is included in the Business Starter, Standard and Plus plans, with Starter limited to Gmail and Standard extending to Docs, Meet and other apps2.

Strengths and limits

Strengths

  • The data-use terms for Gemini in Workspace are published in one place.
  • Admins can disable the Gemini app and switch features on for a subset of users.
  • Audit logs cover user activity with Gemini, and Vault manages retention of Workspace data.

Limits

  • Gemini Notebook is not integrated with Workspace DLP, and data region settings do not apply to it.
  • Controls cover Google’s own AI, not other AI tools staff may use.
  • No approval rules for actions taken by agents in other business systems.

Choose another option if: Staff also use outside AI tools you need to monitor, or AI agents act in systems beyond Workspace.

Pricing

Published: Business Starter €6.80, Business Standard €13.60 and Business Plus €21.10 per user a month on Google’s EU pricing page, with Gemini included in each plan to differing extents.

Questions to ask before relying on it

  • Which of our Workspace editions apply DLP to Gemini output?
  • Should Gemini Notebook be restricted to a group until its DLP and data-region gaps are closed?
  • Which audit log events cover Gemini, and who reviews them?
  • How do we monitor AI tools outside Workspace?

See how Google Workspace compares with the other tools in the main guide.
